DocuWare adds Aura and a Zero Shot IDP to its cloud ECM

DocuWare places AI at the heart of its platform by deploying a conversational assistant linked to client archives and an IDP capable of extracting data without training. The redesign also includes an interface aligned with WCAG standards and a mobile application for document validation. These new features are arriving in the cloud version, with direct integration into the product.
Incoming Document Processing Improved with Multilingual OCR
The new version enhances the operational processing of incoming documents. The OCR now covers 20 languages. A matching function, Master Data Matching, compares the extracted fields to the company’s reference data, such as that from an ERP, to validate or complete the data before recording. The interface has been redesigned with a focus on WCAG compliance; the publisher announces simplified capture and faster daily processing.
Mobile Validation and Task Tracking from Your Phone
A dedicated mobile application allows users to handle pending tasks, including invoice validation, directly from a smartphone. Users can simultaneously view task information, the relevant document, and the associated history. An employee on the go can approve or reject a document without using a desktop computer.
A Conversational Assistant Drawing Only from Client Documents
Aura responds in natural language based on the stored document repository. It can locate a document, summarize it, compare two files, and provide the references used. The interface offers suggestions such as summarizing a file, comparing two documents to highlight differences, clarifying a term, or presenting the steps of a procedure in table format. Control activities, case management, or audit preparation represent its main application area. DocuWare presents Aura as an agentic RAG solution: the assistant selects excerpts from the client’s documents and formulates its responses solely from that content, without relying on external data. The interface encourages users to verify important information.

The IDP Module Automates Document Recognition and Classification
The IDP module identifies the nature of a document, separates bundles, extracts fields, classifies the document, and triggers the associated workflow. Quotes, invoices, and delivery notes are recognized upon receipt and routed without manual entry. Two extraction methods are offered depending on the workflows: a classic extraction based on trained models with predictable behavior on recurring formats, and a Zero Shot mode, based on generative AI, which produces results without prior training and then refines through user corrections. The latter targets less standardized workflows, where building and maintaining a model takes more time than manual processing.
Cloud Availability and Context of the Announcement
DocuWare is rolling out this new version of its platform, presented at DocuWorld EMEA in Berlin by Michael Bochmann, Director of Products and Technology. Two AI components accompany it: the Aura assistant and the IDP enhancements including training-free extraction. Aura is integrated into the product and will be accessible to DocuWare Cloud customers with this version. This development comes at a time when companies are accumulating documents and must comply with electronic invoicing.
