Google Integrates Gemini into Its Office Tools

Google recently announced the integration of new artificial intelligence features, called Gemini, into its Docs, Sheets, Slides, and Drive applications. These updates aim to facilitate content creation by allowing users to generate drafts, slides, and spreadsheets based on information extracted from their Gmail, Chat, and Drive.

AI-Assisted Creation and Writing

Among the innovations, the “Help me create” tool in Docs allows users to describe the document they wish to create. Gemini then uses the available data in Drive, Gmail, and Chat to produce a first draft. For example, a user might ask Gemini to “write a newsletter for our neighborhood association using the minutes from my January meeting and the list of upcoming events.”

Once the draft is generated, Gemini offers the option to refine specific sections without having to recreate the entire document. The “Help me write” tool is also available to enhance clarity or add details. Additionally, the “Match writing style” feature helps unify the tone and voice of collaborative documents by suggesting edits to harmonize the writing style.

Optimized Formatting and Collaboration

In Docs, a new “Match the format” tool allows users to replicate the structure of an existing document. For instance, Gemini can fill in a travel itinerary template with personal details by retrieving information from emails, such as flight confirmations and hotel bookings.

For Sheets, Gemini transforms into a collaborative partner. A simple command can create a formatted spreadsheet by extracting relevant data from Gmail, Chat, and Drive. For example, to organize a move to Chicago, Gemini can create a checklist for packing, a contact list for utilities, and a table to track quotes from moving companies.

For more complex tasks, the “Fill with Gemini” tool allows users to populate tables even faster. This feature can instantly generate personalized text, categorize and summarize data, or pull real-time information from Google Search.

Presentations and Advanced Search in Drive

In Slides, Gemini can generate editable slides that fit the overall theme of a presentation, using the context from files, emails, and the web. Users can request adjustments such as “match the colors to the rest of my presentation” or “make this more minimal.”

In the future, Google plans for Slides to enable the creation of a complete presentation from a single prompt, using relevant context as needed. For example, you could ask Gemini to “create a 5-slide presentation for my upcoming trip to Tokyo.”

Google also plans to enhance search in Drive. Now, a natural language search will display an “AI Overview” at the top of the results, summarizing relevant information from files while citing sources. A new feature, “Ask Gemini in Drive,” allows users to pose complex questions using documents, emails, calendar, and the web to obtain detailed answers.

These features are currently being rolled out in beta for Google AI Ultra and Pro subscribers. They are available in English for Docs, Sheets, and Slides globally, and in the United States for Drive.
