Google Workspace Enriches Itself with AI Gemini

Google recently unveiled a significant update to its Workspace tools, highlighting the integration of artificial intelligence to automate repetitive tasks at work. Applications such as Google Docs, Slides, Sheets, and Drive now benefit from new AI-powered features, as announced by the company last Tuesday. The engine behind these innovations is Gemini, which leverages your files, emails, and discussions to provide relevant insights, avoiding random responses sourced from the web.

AI at the Heart of Professional Transformations

These updates come at a time when AI is increasingly taking center stage in our professional environments, with varied implications. Tools like Claude Code from Anthropic and Codex from OpenAI surpass simple chatbots by executing tasks autonomously. AI tools are becoming more personalized, and Google is following this trend by integrating tailored intelligence on its platforms to refine results based on what is relevant to the user.

Gemini: An AI That Cites Its Sources

The new features of Gemini in Google Workspace include the ability to cite sources after each query. For example, if you ask Gemini in Google Docs to fill out a travel itinerary template, it will pull the necessary information from your emails, discussions, and files. A "sources" tab in the Gemini sidebar allows you to verify where the information used comes from, such as a flight confirmation email or discussions about dinner plans.

Impressive Advances in Google Sheets

The most remarkable features can be found in Google Sheets, where AI can fill in the gaps in your spreadsheets. You can simply describe what you want the AI to do, without needing to write an exact formula. By clicking on an empty cell and selecting the "Fill with Gemini" option, you can highlight the cells you want to be filled. The AI then searches the web and fills each cell with the necessary information.

For example, if your table contains the contact details of local businesses, you can ask Gemini to complete the location, the CEO's name, and other public information for each business. This tool aims to significantly reduce the time spent on manual data entry. Gemini is also capable of summarizing and creating charts based solely on simple prompts.

Google Slides and Simplified Presentation Creation

In Google Slides, you can now tell Gemini, in natural language, what you want to see on a slide, and it will take care of creating it while adhering to the style of your existing slides. You can also ask Gemini to modify your slides if you don't want to spend time meticulously adjusting design elements. The AI fills the slides with relevant information based on your instructions and the working files it has access to, eliminating the need to replace placeholder text.

Control and Deployment of AI Features

For users of Docs, Sheets, and Slides through their company's Workspace account, it is not possible to individually disable AI features. The company controls access to AI for its users. In contrast, personal users can adjust their settings to limit access to Gemini. Currently, these new features are being rolled out in beta, available only in English for Google AI Ultra and Pro subscribers in the United States, as well as for select Google Workspace clients participating in the Gemini Alpha testing program.

Advanced Interactions with Gemini in Sheets

You can also converse with Gemini in Google Sheets to explore your raw data and create custom reports and charts. This feature simplifies data analysis without resorting to pivot tables, making it easier for those who are not familiar with these tools.
