PDF Spaces emerges as a solution to this problem, allowing users to centralize up to 100 sources in a single space. With a conversational AI assistant, it becomes possible to query these documents effectively, with each response precisely referencing the relevant passage in the original document. Creating and Feeding a PDF Space
Setting up a PDF Space is quick and intuitive. On a desktop computer, simply select "PDF Spaces" from the Acrobat homepage, then click "Create a PDF Space." This feature is also accessible on the web and mobile devices (iOS and Android), enabling users to build or enrich a corpus of documents even on the go.
PDF Spaces accepts a wide range of formats: PDF, Word (DOCX), Excel (XLSX), PowerPoint (PPTX), text (TXT), RTF, as well as subtitles (VTT). Users can also import web links and copy-paste text directly into the interface. Document importation can be done via drag-and-drop from cloud storage services like Google Drive, OneDrive, Dropbox, or Box, or simply by copying and pasting URLs. On Windows, it is even possible to create a PDF Space directly from an open Word document with a single click. The import process is automated and takes only a few seconds.
Limitations to Consider
Each space can contain up to 100 sources, with a limit of 100 MB and 600 pages per file. Password-protected files, videos, and handwritten notes are not supported.
PDF Spaces supports multiple languages, including English, French, Spanish, Italian, and Portuguese, allowing for the management of multilingual corpora within a single space. To facilitate navigation, it is advisable to clearly name each space according to the project, client, or theme, and to add a description to specify its scope. Adobe also offers a help page to guide the creation of the space.
Querying Documents with the AI Assistant
Once the documents are loaded, the AI comes into play. The first level of analysis is automatic: the assistant generates a global summary, identifies recurring themes, and highlights key points in the form of insight cards. This initial overview allows users to get a sense of the content without having to open each file individually.
The title of the PDF Space is automatically generated based on the added sources but remains editable. The assistant also suggests recommended objectives to guide the exploration of the corpus, which is particularly useful when users are unsure where to start.
Conversational Interface
The second level of interaction is conversational. Through a chat interface, users can ask questions in natural language about all the documents. One can request a cross-summary, extract specific data, or identify contradictions between sources.
For those hesitant to formulate their own queries, the assistant offers suggested questions and prompt ideas to explore the corpus. An integrated prompt bar in the interface also allows for quick actions like summarizing, analyzing, or generating, without needing to open the assistant panel.
Verification and Transparency of Responses
Each response from the AI is accompanied by clickable citations that link directly to the relevant passage in the source document, allowing users to verify information in context. This approach ensures that the assistant does not merely provide answers but justifies each element presented.
The AI works exclusively on the provided corpus, without conducting web searches or drawing from external knowledge bases. This closed-loop operation ensures that the responses remain relevant to the defined scope and that no sensitive data leaves the space. Adobe also clarifies that it does not use uploaded content to train its AI models.
Customizing the AI Assistant to Your Needs
PDF Spaces offers extensive customization of the AI assistant. By default, three specialized assistants are available: Analysis (for critical thinking and hypotheses), Training (for breaking down complex topics), and Entertainment (for creative reflection). However, the real value lies in the ability to create custom assistants by formulating specific instructions.
Various Analytical Perspectives
To customize the assistant, simply click the dedicated button in the prompt box, choose "Create your own assistant," and describe in a few lines the desired analytical perspective. For example, a marketing manager might ask the assistant to focus on business implications and market data, while an HR professional could configure it to answer employee questions about internal processes.
The effect is immediate: the generated insights refresh to reflect the new perspective, and the conversational responses adopt the requested reading level. The same corpus of financial data will not be analyzed in the same way when addressing a CEO versus a financial controller. The configuration is quick and can be modified at any time.
The assistant is not limited to manual customization; it automatically recognizes certain types of documents, such as contracts, and adjusts its behavior accordingly to highlight key terms, important clauses, and deadlines without prior configuration.
Storing and Organizing Findings with Notes
During exploration, relevant responses provided by the AI assistant can be saved in Notes, a feature integrated directly into PDF Spaces. This allows users to easily retain and organize important information for later consultation.
