Some versions of ChatGPT allow for the creation of custom GPTs, AI models specifically designed to meet particular needs or specific workflows. Unlike a standard conversation that starts from scratch each time, a custom GPT can follow a predefined format, utilize context specific to your team, and produce more consistent results. This can be particularly useful for tasks such as content writing, analyzing recurring data, generating visuals, or answering frequently asked questions.

Custom GPTs are powered by tailored instructions that define their behavior. You can also add specific knowledge by uploading files and enable tools like web search, data analysis, or connected actions. The main advantage lies in reducing the need for re-explanations, copy-pasting, and moments of confusion related to context.

Custom GPTs vs. General Chat

A standard chat is well-suited for quick, one-off tasks, such as brainstorming ideas, making quick rewrites, or answering an immediate question. In contrast, a custom GPT is more appropriate when you need something repeatable and consistent. For example, for automating repetitive tasks, you can save a frequently used prompt and turn it into a reliable workflow.

Custom GPTs also allow for the addition of tools or integrations, enriching the context, enabling file analysis, or using connected applications for more in-depth responses. They maintain a consistent context, applying the same structure, tone, or instructions without needing to repeat them. If you find yourself reusing the same prompt, re-uploading the same files, or rewriting the same instructions for your colleagues, it may be time to create a custom GPT.

How to Build a Custom GPT

1. Identify Relevant Use Cases

Good GPTs generally start with a simple and repeatable need. Focus on workflows that occur regularly, such as drafting the same type of message, summarizing recurring meetings, answering frequently asked questions, or transforming raw data into a coherent weekly report.

Examples of use cases:

• Knowledge Assistant / FAQ Bot: Answers questions based on internal documents or resources.
• Writing and Editing Assistant: Rewrites, polishes, or formats text for tone, clarity, and style.
• Learning Companion / Tutor: Explains concepts, quizzes users, and generates study materials.
• Project / Workflow Assistant: Summarizes meetings, tracks progress, and writes status updates.
• Data and Analytics Assistant: Analyzes data, summarizes trends, and generates visual or narrative reports.

2. Create the GPT

To get started, open the GPTs from the sidebar in ChatGPT, then select Create to open the GPT builder. When you open the builder, you will see two tabs: Create and Configure. In the Create tab, you can send a message to the GPT builder to help you create a new GPT. You might say something like, "Create a creative that helps generate visuals for new products" or "Create a software engineer that helps format my code."

Setting clear objectives ensures that your GPT remains focused and relevant. If you want to define the details of your GPT more precisely, go to the Configure tab and fill in the required fields:

• Name: Choose a clear and descriptive name so it is easy to find and its purpose is immediately understood.
• Description: Explain what the GPT does and when to use it.
• Instructions: Define how the GPT should behave, including its functions, tone, and any behaviors to avoid.
• Conversation Starters (optional): Provide examples of prompts that appear when users open the GPT. This helps guide users on how to start their interaction.
• Knowledge: Upload relevant documents to give your GPT the context it needs for accurate responses.
• Capabilities: Enable features such as image generation, data analysis, web search, and canvas.
• Custom Actions: Set up actions so your GPT can call third-party APIs to retrieve data, modify external sources, or trigger external processes.

Writing instructions is often the most challenging step, as it requires translating your goals into clear and actionable guidelines that the GPT can follow. A simple way to move forward more quickly is to ask ChatGPT to draft a first version, then refine it based on real examples.

3. Test Your GPT's Performance

Before sharing your GPT, it is important to check that it works as intended. You can do this with evaluations, a simple method to assess its outputs.

• Set up your evaluation:
  • Write 10 to 15 questions that reflect the tasks your GPT should handle.
  • Include the correct answers for each question.
  • Use these questions to see if your GPT provides accurate and reliable responses.
  • Review the results and adjust your GPT's instructions or knowledge if necessary.

Tip: When making changes, remember to click Update in the top right to save them. It’s easy to forget, especially when returning to reconfigure an existing GPT.

Building a custom GPT doesn't have to be complex. Start with a workflow you already repeat, draft a first version of the instructions, and test it with a small set of examples. You will quickly learn what needs adjustment—and small improvements often make a big difference.
