Google Integrates Gemini into its Workspace Suite
At the Google Cloud Next event on April 22, Google unveiled a significant advancement with the launch of Workspace Intelligence. This innovation connects the AI Gemini to all applications in the Google Workspace suite, including Gmail, Drive, Chat, Calendar, as well as Docs, Sheets, and Slides. The goal is to simplify interaction with these tools by eliminating the need to repeat context with each request.
Ask Gemini in Chat: A Unified Interface
At the heart of this innovation is Ask Gemini in Chat, a feature integrated into Google Chat. It allows users to formulate requests in natural language, which Gemini executes using the data available within the suite. Among its capabilities are a daily briefing that highlights priority tasks and unread threads, scheduling meetings while considering calendar availability, searching for files by description, and generating documents and presentations. Additionally, it offers connections to third-party tools like Asana, Jira, and Salesforce.
Enhancements in Workspace Applications
Workspace Intelligence also brings significant improvements to the suite's applications. In Google Docs, Gemini can generate infographics from the organization’s business data, edit multiple images simultaneously to harmonize the visual aspect of a document, and directly apply suggested corrections from comments. Google Sheets benefits from the ability to build a complete spreadsheet from a prompt and automatically fill entire columns by inferring the expected data. Google Slides will soon be able to generate a complete presentation with a single request, applying the organization’s templates and visual codes.
In Gmail, the AI sorts the inbox by priority and produces a summary of key information from multiple threads during a search. Finally, Google Drive uses Drive Projects to provide comprehensive context on projects, allowing users to answer questions about stored files via Ask Gemini.
Google explains that often, the main obstacle to starting a project lies in the manual preparatory work: gathering notes and sifting through emails to create a first draft. Workspace Intelligence retrieves your emails, conversations, files, and relevant information from the web to transform your ideas into professional drafts that accurately reflect your style, brand, and company templates.
Enhanced Security and Privacy
Google has implemented stringent security measures for Workspace Intelligence. User data is not used to train Google’s models or for advertising purposes. Gemini respects existing access rights, and data processing and storage can be geographically locked. Client-side encryption provides additional control over access to sensitive data. Administrators have the option to disable Workspace Intelligence access to certain sources from the admin console.
Workspace Intelligence is enabled by default in several editions of Google Workspace, including the Business (Starter, Standard, Plus), Enterprise (Starter, Standard, Plus), Education Plus, as well as certain Frontline and Essentials plans. The add-ons AI Expanded Access, AI Ultra Access, and Google AI Pro for Education are also covered.
